DKNCo (founded in 1992) is based in Amsterdam and servers customers in ao. : Professional services, IT, Biotechnology, Advertising, Logistics, Health care, Construction and Financial industries.

Reasons for choosing O3Spaces

A central task in the majority of DKNCo's primary activities is data collection. Data collection encompasses gathering and safe guarding a consistent set of documents in the context of for example a merger & acquisition process or the composition of financial statements. In an M&A process DKNCo acts much like a spider in a web between the negotiating parties, as well as involved 3rd parties such as banks, and legal counsellors.

Fast, simple and error free document collection is of key importance for DKNCo. Furthermore, accuracy and security are paramount. DKNCO was searching for an IT-solutions that would optimize and safeguard the quality of their data collection activities.

The 120 or so employees at DKNCo work on a large amount of dossiers and cases. It is clear that gathering and checking the documents involved takes up a lot of time. In the past the use of e-mail and other unstructured forms of document transfer have lead to complications and time-loss. Overfilled e-mail boxes, multiple contradicting document versions existing on relatively unprotected network shares are among the primary reasons leading DKNCo to search for a solution.

The automated document collection process that O3Spaces Workplace provides, seemed to be just the right solution for DKNCo. During an intensive pilot, it soon became clear just how effective O3Spaces could be in optimizing the data collection process at DKNCo. The added benefits of direct control over document quality also became clear. DKNCo also discovered O3Spaces to be an invaluable tool in eliminating/automating repetitive actions while increasing control of the various business processes.

Implementation of O3Spaces

O3Spaces Workplace has been implemented within the pre-existing technical infrastructure at DKNCo. Upon initial deployment of the software, the actual implementation was streamlined by an 'implementation team' consisting of DKNCo employees and O3Spaces specialists. This combination of people with specific process knowledge alongside professionals with generic process knowledge and implementation expertise resulting in O3Spaces Workplace very quickly being seamlessly implemented in DKNCo processes and corporate culture.

Not only did this implementation strategy result in a fast and effective deployment. The efficient exchange of knowledge between the team members also provided valuable insights in concrete benefits to be gained by implementing O3Spaces in DKNCo's other document processes.

Technical infrastructure

O3Spaces Workplace has been deployed on a dedicated server within the DKNCo network. A user synchronization between Workplace and DKNCo's existing Active Directory was realized by using a dedicated AD server. This technical decision was taken in light of the external access provided and the high levels of security required. In this context the use of encrypted connections was a logical consequence.
