The particle physics research institute (IFIC) of the University of Valencia is a long time O3Spaces Workplace customer. At IFIC engineers and scientists design and build complex machinery such as particle detectors for physics experiments like the LHC particle accelerator at CERN, Switzerland. In this setting IFIC personnel works in close collaboration with many people working in different organizations around the globe.
The nature of the activities along with geographic distribution of the actors demanded a collaboration and document management tool to support everyone involved. O3Spaces Workplace lets IFIC organize information vertically in the different projects, with the aid of 'units' in their Workplace implementation and control the access horizontally, by discipline, with the help of workspaces. The work at IFIC is multidisciplinary, so physicists, mechanical and electronic engineers as well as programmers are involved. O3Spaces allows the organization to centralize the documentation of the different projects, track the progress and efficiently evaluate the results.
Carlos Lacasta working at IFIC elaborates: 'We use O3Spaces as a tool to centralize the documentation of the different projects we are working on. This includes the design and specification documents, reports on the progress and the results, meeting minutes and project planning. Most of those documents are prepared in a collaborative way and having a tool to store the various versions of the documents is very helpful. Also, the possibility to comment the documents, open discussions and e-mail archiving is an added value.”
